POLICY STATEMENT
DISSEMINATION OF INFORMATION
As part of its ongoing effort to keep staff and public fully informed concerning the affairs of the school district and actions of the school board, the Board instructs the superintendent or principal to institute and maintain effective and appropriate procedures for the prompt dissemination of information relative to the aforementioned affairs and actions. Release of information unless provided for in a previously established policy (i.e. student record file-JO) will be through the office of the superintendent of schools or a duly authorized subcommittee of the school board.
ADMINISTRATIVE PROCEDURE
- TYPE OF INFORMATION
- The information referred to in the policy includes those matters that are discussed at school board meetings as well as the actions taken at school board meetings.
- The information referred to in the policy also includes those matters which arise during the course of the daily operation of the Pembroke School District, including those which may be of a controversial nature.
- The policy is not intended to include that type of information which is normally released through the principal’s office (i.e. newsletters to parents, PTO meetings, etc.), student records, or directory information.
- PREPARATION OF INFORMATION TO BE RELEASED
- The preparation of written information to be released will be the responsibility of the superintendent of schools or a designee, or a board member or subcommittee authorized by the school board.
- Generally official minutes of board meetings shall be considered the appropriate means of disseminating general information in meeting the requests of this policy. However, the superintendent, as agent for the school board, the board chairperson, or another board member or subcommittee duly authorized by the board may discuss with or release to the media and public brief summaries and clarifications of specific district matters.
- All official requests for information shall be referred to the school board chairperson, superintendent, principal or duly authorized agent of the board as appropriate.
- VERBAL RELEASE OF INFORMATION
A. All requests for verbal information shall be referred to the office of the Superintendent of Schools. Verbal information shall be released only through the office of the Superintendent of Schools and/or the Chairperson of the Allenstown School Board.
- DISTRIBUTION OF SCHOOL BOARD MINUTES
A. Copies of the approved Allenstown School Board minutes shall be in the:
- teachers’ room of the Allenstown Elementary School and the Armand R. Dupont School;
- main administrative office of the Allenstown Elementary Schools and the Armand R. Dupont School;
- town library.
